Privacy Policy

ZenMail is designed from the ground up to keep your data on your device. This policy explains what little we do collect, why, and how.

1. What We Collect

Waitlist & early access sign-ups

When you join the waitlist, we collect your email address. That's it. We use it to notify you when a download is available and to send occasional product updates. We do not share or sell it.

Website

This website uses PostHog for product analytics. PostHog collects page views, click events, referrer information, and basic device/browser metadata. We configure it with IP anonymization enabled. We do not use advertising networks, retargeting pixels, or sell this data. You can opt out via a browser-level Do Not Track signal.

Support

If you contact us for help, we collect your name, email address, and any information you voluntarily provide (such as a description of your issue or diagnostic information). We retain this information to have context for future interactions and to better understand support patterns.

2. What We Don't Collect

ZenMail is a native Mac application. Your email content, attachments, contacts, and Gmail credentials never leave your device. We have no server that receives, stores, or processes your email.

  • No email content is transmitted to ZenMail servers
  • No behavioral analytics or telemetry from the app
  • No advertising identifiers or cross-site tracking
  • No sale of personal data — ever

3. Gmail & Google Account Access

ZenMail connects to Gmail via Google's official OAuth 2.0 protocol. Your Google credentials are handled entirely by Google — ZenMail never sees your password. OAuth access tokens are stored locally in your Mac's keychain and are used only to fetch your mail from Google's servers directly to your device. ZenMail has no OAuth access to your account and cannot access your messages independently of the app running on your device.

All sensitive Google user data is encrypted in transit using TLS and is only stored locally on your device. ZenMail's use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

4. Data Storage & Retention

Your email data is stored in an encrypted local database on your Mac. ZenMail does not back it up to any cloud service. Uninstalling the app removes all locally stored data.

Waitlist email addresses are stored in a private Notion database and retained until you request deletion. To be removed, email privacy@usezenmail.com.

If you purchase a license, we retain data related to your purchase in order to authenticate it when you install the app.

5. Third-Party Services

We use the following third-party services that may receive limited personal data:

  • Notion — waitlist storage. Your email address is stored in a private Notion database accessible only to us.
  • Polar — payment processing for licenses. Receives purchase information. We never see your full payment details.
  • PostHog — website analytics (page views, interactions, device metadata). IP anonymization enabled. Data is not sold or used for advertising.

We do not use any advertising networks, analytics platforms, or data brokers.

6. Minors

ZenMail is not directed to individuals under the age of 18. By using our services, you represent that you are at least 18 years old. We do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has provided us with their information, contact us and we will delete it promptly.

7. Your Privacy Rights

You may contact us at any time to:

  • Request a copy of the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your personal data from our systems
  • Opt out of marketing communications

To submit any of these requests, email privacy@usezenmail.com. We will respond within a reasonable timeframe and in accordance with applicable data protection laws. Note that deleting your data may affect your ability to use paid features tied to your account.

To opt out of marketing emails, use the unsubscribe link in any email we send. You may still receive transactional messages related to your account.

8. Changes to This Policy

We may update this policy as ZenMail evolves. When we do, we'll update the effective date above and, for material changes, notify waitlist members by email. Continued use of the app or services after changes constitutes acceptance of the updated policy.
